The short version. We use your information to run Faxera and nothing else. We never sell personal information. We never use fax content for advertising, marketing or training AI models. Fax content is handled under your Business Associate Agreement and stays in the United States.

Who we are
Faxera is an online fax service operated by Strategic Results Group, Inc. ("Faxera," "we," "us"), based in Palm Beach Gardens, Florida. This policy covers faxera.com, the Faxera portal at app.faxera.com, the Faxera API, fax machine lines, and portals we run for partners under their own brands (together, the "Service").
Two kinds of information
We handle two different kinds of information, under different rules.
| Account information | Fax content | |
|---|---|---|
| What it is | Details about you and your business that we need to run your account | The faxes you send and receive, their cover pages, attached files, and the fax numbers involved |
| Whose it is | Ours to manage under this policy | Yours. We process it only on your instructions |
| Rules that apply | This policy | Your agreement with us, your Business Associate Agreement, and HIPAA |
This policy explains both, but for fax content, your agreement and BAA control.
What we collect
Information you give us
- Account details: name, work email, company name, phone number, job role, and the users you invite.
- Billing details: billing contact and address. Card and bank details go directly to our payment processor, Stripe. We never see or store full card numbers.
- Sign-in details: if you sign in with Google, we receive your name, email address and Google account identifier. If you use a password, we store only a one-way hash of it.
- Messages to us: emails to support, partner applications and other forms on faxera.com.
- Porting details: information needed to move your numbers to Faxera, such as your current carrier account and a signed letter of authorization.
Information created when you use Faxera
- Transmission records: the date, time, direction, sending and receiving fax numbers, page count, duration, result and connection details of each fax. We need these to deliver faxes, retry them and bill for pages.
- Audit records: who viewed, downloaded, sent or changed what, when, and from which IP address.
- Device and log data: IP address, browser type, operating system, and the pages or API endpoints used. Fax machine adapters also report their model, firmware version, network status and registration time.
Information from others
- Partners: if you buy Faxera through an IT or phone provider, they give us the account details needed to set you up.
- Google: the sign-in details above, if you choose Google sign-in.
- Stripe: confirmation that a payment succeeded or failed.
How we use it
We use account information to:
- Create and run your account and deliver faxes.
- Bill you, and send receipts and notices about your account.
- Provide support and answer your questions.
- Keep the Service secure: detect fraud, abuse, junk fax campaigns and attacks.
- Monitor and improve reliability, using aggregate data such as success rates by carrier.
- Meet legal duties, such as tax records and responding to lawful requests.
- Tell business contacts about Faxera products. You can unsubscribe at any time. Account and security notices are not marketing and can't be turned off while your account is open.
We do not use automated decision-making that has legal or similarly significant effects on you.
Fax content and HIPAA
- We process fax content only to provide the Service: to send, receive, store, convert, deliver and retry faxes, and as your agreement and BAA allow.
- People at Faxera do not look at your faxes unless you ask us to for support, it is needed to investigate abuse or a security incident, or the law requires it. Each access is recorded.
- We never use fax content for advertising, marketing, profiling, or training artificial intelligence models, and we never sell it.
- A signed BAA covers fax content on every plan. If fax content includes protected health information, the BAA sets out how we protect it and when we notify you of an incident.
- You decide how long faxes are kept, from 30 days to 7 years. Expired faxes are deleted and their encryption keys destroyed.
Who we share it with
We share personal information only as described here.
- Service providers who help us run Faxera, under contracts that limit their use of the information:
| Provider | What they do |
|---|---|
| Amazon Web Services | Hosting, storage, backups and email delivery. Under a signed BAA |
| Telephone carriers | Carry fax calls over the phone network |
| Stripe | Payments and invoicing. Never receives fax content |
| Sign-in, if you choose it. Never receives fax content | |
| Cloudflare | DNS and the faxera.com website. Never receives fax content |
| n8n | Processes forms submitted on faxera.com. Never receives fax content |
- Your partner: if you get Faxera through a partner, they can see your account details, users, numbers, usage and billing. Partners cannot read your faxes unless you give them a user account.
- People you send faxes to and receive faxes from. That's how faxing works. Your fax number and fax header appear on the faxes you send.
- Legal and safety: when the law requires it, or to protect the rights, safety or property of our customers, the public or Faxera. Where the law allows, we tell you before we disclose your information so you can object.
- Business changes: if Faxera is reorganized, sold or merged, including a transfer to an affiliate such as a Faxera company owned by Strategic Results Group, Inc.. The new owner must honor this policy and your BAA.
- With your permission, for anything else.
We do not sell personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under California law and similar state laws.
Cookies and analytics
- faxera.com uses no advertising cookies, no tracking pixels, and no third-party ad networks. We may use cookie-free analytics that count page visits without identifying you.
- The Faxera portal uses essential cookies to keep you signed in and protect against forgery. The Service doesn't work without them, so they can't be turned off.
- Do Not Track and Global Privacy Control: because we don't sell or share personal information or track you across other sites, there is nothing for these signals to switch off. We honor Global Privacy Control as an opt-out request where the law requires it.
How long we keep it
| Information | How long |
|---|---|
| Fax content | The retention period your company sets, 30 days to 7 years. Deleted within 30 days after your account closes, as your agreement describes |
| Account and transmission records | While your account is open, then up to 7 years for tax, billing and legal records |
| Audit records | While your account is open, then deleted with it unless the law requires longer |
| Security and system logs | Up to 1 year |
| Website forms and support email | Up to 3 years after our last contact |
| Encrypted backups | Expire on a rolling schedule. Deleted fax content in a backup can't be read because its key is destroyed |
How we protect it
We encrypt information in transit and at rest, encrypt every fax file with its own key, limit access by role, require multi-factor sign-in for administrators, and keep an audit log. Read the security overview for details. No system is perfectly secure. If a breach affects your personal information, we will notify you as the law and your BAA require.
Where it is stored
Faxera stores and processes information in the United States. Faxera is offered to businesses in the United States and Canada. If you use Faxera from Canada, your information is stored in the United States and may be accessible to US authorities under US law. Faxera is not offered in the European Union or the United Kingdom.
Your choices and rights
- Access and correct: most account details can be viewed and changed in your account settings.
- Download: your company's admins can download faxes at any time.
- Delete: you can delete faxes, users or your account. Some records are kept as described above.
- Marketing email: unsubscribe using the link in any marketing email.
Depending on where you live, you may have more rights. Residents of California and other states with privacy laws, and people in Canada, may have the right to:
- Know what personal information we collect and how we use and disclose it.
- Get a copy of it in a portable format.
- Correct it.
- Delete it.
- Opt out of its sale, sharing for targeted advertising, or profiling. We don't do any of these.
- Limit use of sensitive personal information. We use it only to provide the Service.
- Not be treated differently for using these rights.
To make a request, email [email protected] with "Privacy request" in the subject line. We will confirm your identity before acting, usually by email from the address on your account, and respond within 45 days. You can use an authorized agent if you give them signed permission. If we deny your request, you can appeal by replying with "Appeal" in the subject line. We will answer your appeal within 60 days.
About fax content: for faxes that belong to one of our customers, we act on that customer's instructions. If you ask us about information in a customer's faxes, such as a patient asking about medical records, we will refer you to that customer, who is responsible for answering.
If you receive a fax sent through Faxera
Faxes sent through Faxera come from our customers, not from us. If you get a fax you didn't want, contact the sender using the number or contact details on the fax. To report junk faxes sent through Faxera, email [email protected] with the sending number, date and time. Our terms of service prohibit unsolicited fax advertising, and we act on reports.
Partners and their clients
Partners resell Faxera under their own brand. When a partner operates a portal for its clients:
- Faxera runs the Service as described in this policy.
- The partner manages its clients' accounts and billing, and handles its clients' information under its own privacy policy. If a partner connects its own Stripe account, its clients' payments go to the partner's Stripe account, not to Faxera.
Children
Faxera is a business service. It is not meant for anyone under 18, and we do not knowingly collect personal information from children under 16 except within fax content a customer sends or receives.
Changes to this policy
We'll post any change on this page with a new "last updated" date. If a change materially affects how we use personal information, we'll email account owners at least 30 days before it takes effect.
